Integrated process, incorporating corporate actions and group reporting functionality

The challenge of embedding greater sustainability actions when you’re an activity provider with four sites, or a hotel group with 50, is taking everyone on the journey. With a team spread across different locations you need a manageable way to activate, support and track change. We’ll help you set the agenda, and give your teams what they need to deliver to achieve either or both of our sustainability certifications, Green Tourism and Green Meetings.

Assessment process for Groups and multi-site businesses

Fill in the Group application form with your business and contact details and pay Year 1 fees. Annual fees are payable to maintain your sustainability certifications.

You will be assigned a Technical Account Manager who will guide you through the assessment process for the Group, assist with identifying corporate actions to add to the GreenCheck™ Portal for Groups and provide support for all the sites in completing additional actions and preparing for their assessment.

Assign a central Super User / Users who will be provided with login details for the GreenCheckPortal for Groups. They will manage the account for the Group and set up other users for each of the individual sites (Max 20 / site if required e.g. per department / members of green team).

With support from your Technical Account Manger review the 15 Sustainability Goals, criteria, and associated actions to identify which are undertaken and covered by corporate and group-wide, actions, policies, and plans. Select the actions that you have put in place and provide an explanation in the text box, this might include links to relevant pages on your website, or description of actions taken. Where appropriate upload evidence such as policy documents, receipts, supplier information, photos etc. To assist with this process, it may require your Technical Account Manger to visit your Head Office and or a sample of sites for which there may be an additional charge (see fees).

Once the corporate / group-wide actions are selected and evidence uploaded they will appear in every site’s dashboard along with any credit / score linked to the actions. With support from your Technical Account Manager the sites will then review the criteria and any already completed corporate actions, record additional on-site actions, upload evidence, and get ready for their assessment.

The GreenCheck™ Portal for Groups provides access to the corporate dashboard for the Super User(s) which displays real time updates on all the sites. This includes when they last accessed their dashboard, what actions they have selected and their progress through the goals and criteria. The corporate dashboard can also display a league table of achievements comparing the sites against each goal or overall performance across all the criteria.

If the group is planning an action or improvements these can be added to the corporate Action Plan, including any relevant notes and this will be available for all sites to view. Individual sites can add to their own Action Plan which can be shared with colleagues. As actions are completed either centrally or on each site the Action Plans should be updated, explanations provided, and any supporting evidence uploaded.

In discussion with your Technical Account Manager a timeline and or deadline for preparing for and submitting for the assessments can be agreed. On the agreed deadline the corporate account and each site will click SUBMIT, and the dashboards will be locked until the evidence has been reviewed and verified. Your assessor will be in contact to discuss the assessments and may request additional information if necessary. This may require a site visit to Head Office and a sample of sites for which there may be an additional charge (price on application).

When the assessments are complete you will receive conformation of the certification and the award level each site has achieved. The assessment reports which will include scores in each of the goals and recommendations for further actions / improvements either corporately or on each site.

You will need to be reassessed at least once every three years to maintain your certification and we will contact you well in advance. Annual reassessments for the group can be requested through your Technical Account Manager.
